Fleet & Admin Manager
The Operations team is looking for a new Fleet & Admin Manager to join us at our HQ in Barcelona.
This person will be responsible for coordinating and optimizing key processes related to fleet management, fines, accidents, and operational reporting, ensuring a global, structured, and efficient approach to the administrative processes within the area.
We are looking for someone highly organized, hands-on, analytical, and experienced in team management, who enjoys working in dynamic environments and collaborating with multiple stakeholders across countries.
What will you do?
Manage and keep the fleet dashboard updated, ensuring data accuracy and reliability.
Track operational KPIs, analyze deviations, and propose process improvements.
Lead management processes in the ERP, ensuring proper use and smooth execution.
Act as a support/helpdesk point of contact for Fleet Managers regarding queries, incidents, and administrative processes.
Prepare monthly monitoring reports and operational analysis.
Monitor supplier invoices, documentation, and related reports.
Define sales prices for total loss vehicles related to accident cases.
Manage and support the team, coordinating priorities, workload, and day-to-day needs.
Own the fines process, including tracking, control, audits, and continuous improvement.
Own the accidents process, ensuring efficient and well-structured case management.
Lead global process improvement initiatives in fines, accidents, and fleet management.
Collaborate with local and international teams to standardize processes and ensure proper implementation.
What are we looking for?
Previous experience in operations, administration, fleet management, operational back office, or similar roles.
Previous team management experience is a must.
Intermediate level Excel skills: confident working with formulas, connecting data between files, and using pivot tables.
Strong analytical skills and KPI-oriented mindset.
Experience working with ERP systems or internal management tools.
C1 or Native Spanish and B2-C1 English are required, as the role will collaborate with local and international teams and lead global process improvement initiatives.
Highly organized, detail-oriented, and problem-solving mindset.
Ability to manage multiple priorities in a dynamic environment.
Hands-on profile, with strong judgment, autonomy, and the ability to identify improvement opportunities.
Experience in international environments or companies with operations across different countries will be a plus.
